Dashboard

Your central operations dashboard.

What am I looking at on the dashboard?

The dashboard brings together pipeline value, receivables, unbilled value, active clients, active projects, logged time, recent activity, and useful shortcuts.

What is the setup checklist?

A short guide that tracks progress toward your first invoice. It updates automatically as you complete each task, so you do not need to mark steps complete yourself. Once all steps are done, you can dismiss it.

Pipeline

Move leads through five simple stages.

How do I move a lead between stages?

Move the lead between stages as the conversation progresses. The five stages are Inbound, Qualified, Proposal, Won, and Lost.

How do I convert a lead?

Open the lead and choose Convert. Northline creates a client and project in one action, while keeping the original lead for reference.

How do overdue follow-ups show up?

A lead whose follow-up date has passed is clearly highlighted and brought to your attention on the dashboard.

Proposals and contracts

Draft, share, and convert.

How do I save approved clauses?

Open Proposals and Contracts, add a clause with a title and body, and save it for your team to reuse when drafting future proposals.

How do I use regional terms?

Save the standard terms your business uses in each region, then choose the appropriate terms when drafting a proposal.

How do I send a proposal to a client?

Save the proposal, then choose Share. Send the private review link by email. The client can review and accept it online without creating an account.

How do I turn an accepted proposal into a project?

On an accepted proposal, choose Convert. Select an optional deposit and whether to send an onboarding questionnaire. Northline creates the project, milestones, tasks, and deposit invoice together.

Projects and milestones

Deliver the work smoothly.

How do I choose what clients can see?

Choose whether each milestone is visible to the client. Internal milestones stay with your team, while shared milestones appear in the portal.

How does milestone sign-off work?

When a milestone is complete, it appears in the client portal with an Accept button. The client can review and sign off from there.

Can I set a project hourly rate?

Yes. Set an hourly rate for the project. Time entries use that rate unless you choose a different rate for an individual entry.

Time tracking

Timer or manual entries.

How does the timer work?

Open Time Tracking, choose a project and optional task, then select Start. Select Stop to save the entry or Discard to remove it. A reminder appears if a timer runs for more than four hours, helping prevent accidental overnight billing.

How do I turn time into an invoice?

Select unbilled, billable entries, then choose Convert to Invoice. Group the time by entry, task, or project and Northline creates one invoice with the line items ready.

Can I hide time entries from the client?

Yes. Choose whether each entry is visible to the client. Only shared entries appear in the client project view.

Billing

Invoices, line items, and payments.

How do invoice statuses change?

An invoice moves from draft to sent, then to paid when the balance reaches zero. If the due date passes, it is shown as overdue. You can also void an invoice when needed.

How does the client pay?

The client opens the invoice through the portal link and chooses Stripe or Razorpay. They complete payment in a secure checkout, and Northline updates the invoice automatically.

What if a payment confirmation is sent again?

Northline handles repeated payment confirmations safely, so a client is not charged twice and a payment is not recorded twice.

Retainers and subscriptions

Manage recurring cycles.

How do I create a retainer?

Open Retainers and Subscriptions, choose New Agreement, then select the client, billing schedule, pricing model, amount, included hours, rollover option, and start date.

How are due retainer invoices created?

Northline checks whether an invoice already exists for that period before creating one. Running the action again will not create a duplicate.

How does rollover work?

If rollover is enabled, unused hours carry into the next cycle up to the limit you set. Included hours are used before rolled-over hours.

Profitability

Margin and real numbers.

How is gross profit calculated?

Gross profit is invoiced revenue minus labour cost and direct expenses. Clear colour coding helps you spot healthy margins and projects that need attention.

How do I export for my accountant?

Open Migration settings, choose Accounting export, select the format you need, choose a date range, and download an accounting export file.

Client portal

What your clients see and sign.

How do I invite a client?

Open the client record, choose Invite to portal, enter the recipient email and role, and send the secure invitation. The client lands on their private portal after signing in.

What can a portal client do?

Clients can see shared projects, sign off on milestones, view shared documents, view and pay invoices, sign proposals and contracts, sign the handover, and submit feedback.

How do I revoke portal access?

Open the client record, choose Portal users, and select Revoke. Access is removed immediately.

Settings

Team, integrations, migration, and email.

How do I add a team member?

Open Team settings, choose New member, enter their email, and choose a role. Their access is limited to your workspace.

How do I set up email sending?

Open Email settings, add your sending details, send yourself a test, and save. You can then tailor templates for each type of client message.

How do I export or delete my account?

Open Account settings. Export data downloads a complete workspace backup. Delete account starts a 7-day cancellation window, which you can reverse until it closes.
